Cookies

This website uses cookies. For more information please see our Cookie Policy below.

What information do we collect?

We ask for your name, email address and mobile number when you sign up for event news, presale access, competitions or our newsletter. This includes sign-up forms on our website and on Facebook and Instagram (Meta lead forms). Where an event has an age restriction we may also ask for your age or date of birth.

When you buy a ticket, in addition to the above, our ticketing partners (such as FIXR and Ticket Tailor) collect your payment details and may collect your address. We receive your order details from them so we can run the event.

We also collect your marketing preferences and how you interact with our emails and texts (for example opens and clicks). If you use our website, we may collect device information (such as device model, operating system and browser), your IP address and information about how you use the site.

What the data will be used for

Your data enables us to:

  • Send you the event updates, presale access, offers and ticket links you asked for

  • Process ticket orders and send you important information about your event, including changes to times or arrangements

  • Run, improve and keep our events safe, and understand which events you are most interested in

  • Show you relevant advertising on platforms such as Facebook and Instagram, including by creating matched or lookalike audiences

  • Carry out statistical analysis and surveys to improve our website and services

We may also send you from time to time (by email or SMS) information about events, promotions and special offers from South West Festivals and other events run by Proper Leisure Limited. We only do this where you have opted in. If you do not wish to be contacted, you can:

  • Click the unsubscribe link in the footer of any email

  • Reply STOP to any text message

  • Email info@swfestivals.co.uk asking to be unsubscribed

In assessing your request for tickets or services, we may use your information for the prevention and detection of fraud.

Our lawful bases

  • Consent: for marketing emails and text messages. You can withdraw consent at any time.

  • Contract: to provide tickets and services you have bought.

  • Legitimate interests: to run and improve our events, keep basic records and carry out measured advertising, where this does not override your rights.

  • Legal obligation: where the law requires us to keep or share information.

WhatsApp community

If you join our WhatsApp community, your phone number and profile name will be visible to the community admins and, depending on the community settings, to other members. WhatsApp is operated by Meta under its own privacy policy. You can leave the community at any time.

How long is your data kept

Your data is kept for as long as necessary to provide the services you have requested, or until you ask us to stop. We keep marketing data until you unsubscribe or until you have not engaged with us for 3 years. We keep ticket and transaction records for up to 6 years for accounting and legal purposes.

Note: unsubscribing from our email list does not mean your data is deleted. If you would like us to delete it, please ask (see Your rights below).

What information do we share with others?

We do not sell your personal information. We work with other companies to provide certain services, including ticketing and payment processing, email and SMS distribution, website hosting, analytics, and marketing and advertising (including advertising on social media networks and profiling). We provide these companies with only the information they need to perform their services and work closely with them to ensure your privacy is respected and protected. They currently include:

  • Klaviyo and ClickSend (email and SMS)

  • Meta Platforms (Facebook and Instagram advertising, lead forms and WhatsApp)

  • FIXR and Ticket Tailor (ticketing, under their own privacy policies)

  • Squarespace (website hosting)

  • Google (analytics and business tools)

Some of these providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations.

Disclosure by law: we may disclose information you provide if required to do so by law, or if we believe in good faith that disclosure is reasonable to (1) comply with the law, requests or orders from law enforcement, or any legal process; (2) protect or defend the rights or property of Proper Leisure Limited or a third party; or (3) protect someone's health or safety.

Your rights

You have the right to access, correct or delete your personal information, to object to or restrict how we use it, to data portability, and to withdraw consent at any time. If you would like a copy of the personal data we hold about you, or would like us to remove it, email info@swfestivals.co.uk.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113).
